Recordkeeping

Posting Requirements

Purpose of Process:

The law requires certain information to be posted on company bulletin boards for employees to read. In addition, the law requires that companies disseminate information to employees, and bulletin boards can fulfill this requirement.

Recommended Steps in the Process:

  1. Develop a list of items to post on company bulletin boards (see below).

  2. Assemble the posting material.

  3. Determine the size of the bulletin board(s) needed.

  4. Install bulletin boards in each building in which employees are located. The bulletin boards must be in a place that is visible to employees, such as in a break room or a major hallway. At least one set of posters must be visible to job applicants.

  5. Display the posters on the bulletin boards.

  6. Review the bulletin boards periodically (every two to three months) to ensure that all required posters are still on the bulletin board.

Process Tips:

The Chamber of Commerce and some private companies sell posters which consolidate the government mandated posters. These posters are attractive, convenient, and inexpensive. Contact Auxillium West for the names of these companies. The U.S. Department of Labor publishes its posters on the Internet, which can be printed or downloaded for free. Their Web Site address is http://www.dol.gov/dol/regs/main.htm

Companies performing government contract work subject to the Service Contract Act or Public Contracts Act must post the "Notice To Employees Working on Government Contracts" poster.

The California Pregnancy Disability Leave and Family Rights Act posters and the federal Family and Medical Leave Act posters require employers to post these in another language if it is the primary language of 10% or more of your workforce.

Health and Safety regulations have additional posting requirements dealing with topics such as hazardous materials, industrial equipment, lasers, etc.
